Description of Request

Submitted By: Ryan Knutson, VP for Information Technology, CIO

Post-pandemic, University Information Technology (UIT) has moved to a hybrid work model for a large portion of its staffing. The move to hybrid has been successful but has created underutilized office space. UIT proposes to fully utilize the second floor of CFT5 by bringing the Enterprise Services Group (ESG) team from Nopper and consolidating staff into one location. To do this, UIT has volunteered to pilot a hoteling concept by which FM Systems Resource Scheduler would be utilized as a scheduling tool to balance office usage on any day. This project would require hoteling software, cubicle expansion in CFT5 204, and office shuffling. Additionally, three ATO staff members would consolidate into a shared space in room 227 along with hoteling space use. Based on national standards for hoteling space a 20% - 30% surplus of workspaces when accounting for the needs of a hybrid workforce is needed. Calculations indicate that UIT would be well suited to bring the entirety of ESG into the CFT5 facility and maintain national averages with office space. This move will also allow UIT to assess how they will best function in this hybrid work environment in order to maximize efficient use of space in Nopper should the Nopper Space Plan be approved.

Resolution

Date: April 7, 2023

Space Management Committee has approved UIT to pilot the hoteling concept using office spaces and cubicle workstations located in CFT5 203, 204 and other private offices throughout the 2nd floor of CFT5 .
