Liberty County Tips for Record Books
The 4-H year is winding down and hopefully you have been working on your record book throughout the year. Record books are required to be turned in at the end of each 4-H year. The deadline for Liberty County is September 15th. Be sure to turn in to your 4-H Club Leader to check for completeness.
The council pays for one green record book cover for new members. If this is your first year and you have not received one, please contact the Extension office. If you have lost yours you can order a replacement from the 4-H mall by clicking on the link below.

Record books help you indicate what you did and what you learned.
Here are a few tips:
- Make sure all record sheets are signed.
- Your first page should be your "My 4-H " page followed by your project animal and non-animal pages.
- Place the current year in the front of your book with the past years towards the back.
- Include a picture of you if possible on the My 4-H Year form.
- You may use on-line forms found at http://montana4h.org/projects/support/record_books/index.html or request paper copies from the Extension office. Be sure to save and name your forms. (There are sample record books and tutorials on the link as well)
- Include year tabs on the side.
- Write goals for your project and 4-H year at the beginning of the year.
- Be sure to include all projects for which you enrolled. If you did not complete a project, add a note to say that you didn't get it completed.
- When listing project costs be sure to include all costs. Assign a fair market price to items that you didn't have to pay for out of pocket.
- List any profit made, including premium money for ribbons earned at the fair.

HOW TO WRITE A BUYER THANK YOU
A good livestock buyer thank-you note includes:
- A greeting with the buyer’s name or company.
- An acknowledgement of the specific reason for the thanks (i.e., the purchase of your animal project).
- The reason why you appreciate the buyer. For instance, they supported you and your 4-H project, have been generous to 4-H, or took time to benefit youth.
- How you plan to use the money from the sale.
- A comment or details about yourself or an update on your life. For example, you can explain why you enjoy 4-H or something you learned in your project work.
- A repeat of your thank you.
- A closing and your signature (e.g., With thanks, name or Sincerely, name
It is best to have your thank-you note be hand-written, neat and legible, on a thank-you note card, and written in blue or black ink. It is always great to invite the buyer to attend the auction again in the future and if you know of people who bid but didn't’ buy be sure to thank them as well.
New 4-H Enrollment Software for 2020-2021 4-H Year
The state 4-H office has made the decision to switch from 4Honline to Zsuite for 4-H enrollment. It looks like it should be user friendly but it will be a learning experience for all of us.
The online recordbook feature looks pretty cool! Some of you may have already checked it out as well from information that was sent out in earlier newsletters. Members will be able to fill out recordbooks online from their Zsuites account from any device that has internet access. There is no need to save to a flash drive or to your computer as your work will be saved to your zsuite account and can be printed when complete.
More information will be coming soon about how to set up your Zsuite 4-H account for this fall’s 4-H enrollment.
